- Team Kit: The club is in the process of designing a new Synergy Team logo and kit for the 2009 season. The new design is forthcoming and will be presented to the membership by early January 2009

Synergy Racing Bylaw Amendments
We have revised the bylaws for Synergy Racing. Please review the changes, as we will vote upon them at the next Annual General Meeting on November 26, 2008. Of note, to vote upon the changes, we will require a 30% quorum, so please attend the AGM!
The changes are as follows:
3.8 Function of the Board of Directors
Added: l) Organise fundraising for the society
3.12 Vice President
The Vice President shall assume the duties of the President in the President’s absence and be responsible for organizing the fundraising events.
Added: “be responsible for organizing the fundraising events”
3.15 Election of Officers and Directors of the Board
The Board of Directors shall be elected by the membership at the Annual General Meeting by a majority vote. Any member in good standing shall be eligible to any office in the society.
Added: Only members who have been with the club for at least one year prior to the election will be eligible to run for the positions of President or Secretary-Treasurer.
3.16 Term of Office
Added: Elections for positions President and Secretary-Treasurer and for positions of Vice President and Member-at-Large will alternate each year.
4.1 Annual General Meeting
Added: If there are changes or amendments to the Synergy Racing Bylaws, they must be presented to the membership at least 15 days prior to the Annual General Meeting for review. At the Annual General Meeting these changes or amendments will require a majority vote to determine which changes shall be successful as seen by the membership. If there is not quorum, the majority vote will have to be conducted at the next AGM when quorum has been established.

Preliminary info: Events and Updates
Winter Training Program support information
At a meeting earlier in the month, the Calgary clubs came to a consensus on member support for the Oval training program and subsequent camps and out-of-province racing for the 2009 season. General information is as follows as applies to Synergy members:
Fees are due November 15 and April 1 for the Olympic Oval Development, Performance and High Performance programs. The initial installment on Nov. 15 will be payable by the member, with the club picking up the outstanding balance on April 1. Synergy will pay 50% of the program cost to a maximum of $1000. There may be case-by-case exceptions for High Performance support if needed or warranted.
Synergy will assist in the payment for Oval training camps this year, $500 per camp for a maximum of 2 camps. This year's camps are tentatively set for Tucson, Victoria and Penticton.
Travel assistance will be available for Tour of Abitibi, Nationals, Canada Games qualifiers and the 2009 Canada Games depending on approval of fund disbursement by the AGLC.
These support programs will be available for returning Synergy members only; this is not available for athletes for whom 2009 is the first year in the club.
At this moment, there is no other funding assistance developed to support members in programs other than the Oval Program as in previous years, but stay tuned for more information as it becomes available.

November 10th, 11th at the Elbow River Casino, 218 18th Avenue SE. Natasha has already sent out work schedules, so you should already know which shifts you are assigned to work. Remember to bring ID with you to the casino for sign-in!
Team Fee Restructuring for 2009
This year, we are going to introduce a General membership fee of $50 which will cover ABA club riding insurance only and will not include support for travel, team kit, ABA licensing nor will team obligations apply; for racing members a $350 racing fee in addition plus $100 performance bond will get you all of the membership perks you are familiar with along with the requirements to work at the team casino and hosted races during the 2009 season.
We believe reinstatement of the performance bond is a good idea. We believe it adds a level of commitment to people who chose to be racing members to keep our racing member calibre at a higher level as a result. With the addition of the $100 performance bond, total race fees will equal what it was last year when people who race get their performance bond back.
We want to stress that first-year members must be racing members; we will hold the general member option to ‘grandfathering’ members of previous years. We believe this will give our more senior members options when considering their race seasons in light of all the other obligations of everyday life. This arrangement will also encourage first-year members and newer members to understand the benefits and consequences of being an active member of the Alberta Racing community, plus committing to working casinos, races, etc. all of which is good experience for anyone.
Now that there is the consideration of so many races being registered through Karelo, we are allowing members to manage their own entries, receipts and reimbursements when appropriate. We want to reinforce to members that they MUST get receipts for races in order to be reimbursed. If you are unclear on might need to be done if you find yourself in a situation where no receipt is available, please talk to cp or Reid about what will pass as a suitable race event receipt.

Reimbursments - Year End
Here are a few things to remember when submitting reimbursement requests:
1) Please be patient. I won't reimburse you if you have just one receipt. In most cases, I'm assuming that you may have more on the way. This makes for less accounting at the end of the year.
2) Please have receipts. We simply cannot reimburse without them. We're accountable to the AGLC for every cent we spend. "I didn't get a receipt!"
If the organizer did not issue you one, you have to get out there and make your own and ask him/her to sign and date it. Printing out your results will also help.
3) Do not put tape on those new-fangled thermal paper receipts as the printing will be destroyed rendering them unusuable. Use some glue instead and please, for the love of Peter, be neat.
4) Put it in the mail! Snail mail, that is! Please don't make me do the job of printing out your receipts. I don't have a printer. Send it to the team post office box and Reid or I will collect it within a few weeks. Otherwise, bring what you have to the AGM (mid-November).
Scenario:
You're a junior and you submitted receipts for travel, etc. and an unrelated race fee. I will pay you for the largest sum and wait for more race receipts before reimbursing for the other, unrelated race. This helps in the accounting process as well.

I just received an ABA invoice for the rider's portion of the trip. Is there anything else? Do you have the receipts?

Alberta Track Championships - Elite and Master
If you're planning on doing the Alberta Track Provincial Championships (Masters and Elite only) in Edmonton on August 16-17, please take note of the information below:
1) Registration. Please register yourself using Karelo. Submit your receipt (hard copy) to me. Given so many races are using Karelo and I'm not going to write a reimbursement cheque for every single race, I'll hold on to your receipt until late in the season and reimburse you then.
2) Accommodation. Do you need a room? Months ago I booked rooms at the Argyll for the race but I'll try to get rooms at another hotel.
3) Transportation. Do you need a ride?
Please let me know by this Friday, August 1.

Team BBQ Friday!
Its BBQ time! We are having a Synergy Team Barbeque at Edworthy Park on Friday, July 11th beginning at 5:00. Hopefully everyone can make it!
We have Site 8 tentatively booked from 3-9pm.
Please feel free to bring your parents, children and significant others for this night of team bonding! Burgers, veggie-burgers, tube-steaks (hot dogs) and non-alcoholic bevies will be provided by the club.
If you are able to attend, please bring a complimentary side dish (pot-luck style) to share with the club. Salads, appetisers or desserts would be appreciated. Also, if you have any firewood, please bring it with you.
We are asking everyone to RSVP by Thursday night. This will allow us to buy an appropriate amount of food and drink. Please email: felix_haspel@yahoo.ca or call Felix at 771-3154.
Also, don't forget to bring your bathing costume. If the weather is warm, we can go for a team swim in the Bow River.
After the BBQ, anyone interested is welcome to traipse downtown to Reid and Joe's place to watch the fireworks from their strategically set apartment balcony with a great view of Stampede Park.

How to Submit a Race/Travel Receipt - Updated May 22nd
2. When paying on your own is required (again, please consult cp first in case he's made alternative arrangements), please collect your receipt (with as much detail as possible regarding the race; i.e., name, dates) .
3. Paste or tape (no staples!) your receipt to a standard (8.5 x 11") piece of paper. Keep race entry and travel (if approved) receipts for the same race together. You may glue them on the same page but keep different races on different pages.
4. Mail your receipts to the PO Box or give them to cp in person.
5. You will be reimbursed by mail or in person in 2-3 weeks (travel) or 4-6 weeks (entries).
FAQ:
1. Will Synergy pay for my gas?
In a word, no. We pay for fuel costs when a club vehicle is rented to attend a race as a team (min. 4 members). If you travel on your own, you are responsible for the cost of fuel. If a team vehicle is cancelled (due to lack of travellers), it's up to you to find and pay your way.
2. Will Synergy pay for my food?
No. You need to eat at home just as you need to eat on the road. Pack a lunch.
3. Will Synergy pay for my accommodations?
If you have arranged for accommodations through the team at the hotel where the team is staying, we will pay for accommodations.
4. What if I'm travelling out of province for a race?
You are never guaranteed that your race and/or travel fees will be paid when you race out of Alberta. Complete the paperwork online at least a week before the event and submit it to cp. Make sure he's aware that it's coming so he can then submit it to the AGLC. Incomplete paperwork (lack of invite to race, lack of intinerary, etc.) will be considered incomplete and not submitted. Please respect that we must submit this to the AGLC on your behalf and they will not accept incomplete forms.
5. What about Midweek Mayhem (criteriums) and Calgary Bicycle Track League? Do we get reimbursed for that?
If you compete in at least 51% of the available races of each series, you are eligible for reimbursement at the end of the season provided you: a) provide a receipt; and b) clearly demonstrate in writing or by email with dates that you competed in these races.
6. Who's this "cp" wanker and how do I get a hold of him?
My name is Colin Walsh but I go by the moniker "cp." If you're more comfortable with my proper name, please go ahead and use it. You won't even sound like my mother, though, because she calls me "Col." Don't even think about it!
I realise that this may read rather harsh--but that's what accounting is, isn't it?! Directions to Velo City and Argyll Hotel
Directions
Argyll Hotel (9933 63 Avenue NW) is just east of the railtrack underpass on 63rd Ave as you're coming into Edmonton on Gateway Blvd. at the intersection of 99 St. Parking is available in front of the hotel on the south side of 63 Ave. I believe the reservation is either in Colin's name or under Synergy Racing. There will be four double rooms available, nine of us staying there so one room with have three. The four juniors are staying with the Oval group and Mike is staying at relatives.

We need to figure out how to coordinate AGLC forms with accommodation and travel details. Reminders
Cheques for membership for all will be processed next Tuesday. As well, instead of sending out licenses to ABA memberships individually, the ABA has sent them all to me, apparently because I didn't have enough to do already. I will address and send out the licenses I have to you this weekend. I will do the same for those that come back from the ABA in the second batch. If you need your license sooner than early April, let me know immediately so we can arrange a pick-up meeting.

Update from the Exec
We are in the throes of figuring out funding for 2008 camps for our U22 riders, putting in clothing orders, arranging casino dates, getting through membership
selection -- so much to do!
In light of this, I want to get a few points of information out there to make things clear (mostly for myself)
1. Camps:
Information I have on who's attended what camp and how much has been invoiced vs. paid have been unclear in some cases. I want to bring everyone up to speed on what I understand to date in the hopes that others will help me fill in the holes.
Camp #1 - Tucson (ABA)
attendees: Graham Courtney, Brad Knapik
fees: $950, $300 deposit paid by athlete.
Synergy will cover camp expense (approvals pending), travel expense covered by athletes pending confirmation from athletes that this is the case (Graham, I already have this from you).
Camp #2 - Victoria (ABA)
attendees: Caeli Barron, Graham Courtney
fees: $450
Synergy will cover camp and travel expense (approval pending)
Camp #3 - Penticton (NCC)

Caeli, Graham - did you need to do this as well prior to the Tucson or Victoria camps? Please let me know whether you have already received your license or not.
For all others, keep in mind that I need ALL your documentation (club membership and payment, ABA license application) by the end of March. Please do not delay this as you will only be making things more complicated for me than they already are.
4. For any 2007 members that know they are NOT returning for sure in 2008, also please let me know as we have a waiting list for spots unless you have already done so.

As for club membership application forms and payments, please remember that the deadline is March 31. I will be processing ALL cheques received to date and up to March 31 on April 1 as well.
Any athletes participating in the spring training camps in Penticton must have their ABA license by the time of the camp, so if you haven't already done so, get your forms to the club mailbox or me directly ASAP.

Update: January 28
I believe most of you know me, but for those who don't my name is Reid Dalgleish. I was elected President of Synergy Racing Cycle Club at the AGM held in the fall. I've been a member of the club since 2002. You will be hearing from me on occasion throughout the year by email with crucial or personal communications, however these days we post most general information on the Synergy blog, so I encourage you to make a habit of checking the site on a regular basis.
First of all, the 2008 season is looking to be very good with a great balance of racing in all disciplines. The Synergy Executive has submitted a request to host and run a track race in July (a resurrected Bikeshevik) at the Glenmore Velodrome, so that will most likely be the one main volunteer contribution you will all be expected to show up for in addition to the next scheduled casino in late 2008, of course.
*****We will be discussing all of this at the Synergy Team meeting, to be held on Wednesday, February 13th at 7pm in the IBM Canada Building, 227-11th Ave. SW - Rocky Mountain 'A' Room. Doors are on the northeast corner of the building. Since the meeting is afterhours, either I or someone from the team will be at the main door to let you in. I strongly encourage all present and future members to attend this meeting.
*****Membership forms for the 2008 season are still in draft mode, but will be on the Synergy blog site by the end of the week for download so you can have them pre-filled for the meeting on the 13th. You will have opportunity at this meeting to pay your 2008 fees which will be the same as last year. I also encourage you to pre-fill out your 2008 ABA license applications for the meeting and get this all done and out of the way all at once. As mentioned, all forms will be updated on the blog by the end of this week.
*****Camps: I have been told that a number of the U22 team members are planning on attending the Oval training camps in Victoria, Penticton or both. For all U22 members and parents of members who are planning on attending these camps, we require two action items from you. The first is to ensure that the Oval/U of C accounting department is invoicing Synergy Racing Cycle Club and not you directly. We do not desire going through the chaos that developed from dealing with this last season. As with your Oval fees, any camp fees should be assigned to the same account in the U of C acccounting department so that Synergy gets invoiced for all charges from a common account.
In order to use AGLC Casino funding to pay for these camps, we will require that the athletes/parents fill out the AGLC Travel Itinerary form that is available on the blog, or at http://www.aglc.gov.ab.ca/pdf/gaming/gaming_forms/5443.pdf. It is mandatory that we get these forms sent to Edmonton for each U22 athlete attending an out-of-province event that we are paying for, no matter where or when. The form is pretty basic - athlete/support staff information, expense estimates, event details and personal contributions. The President and Treasurer need to sign the forms before they get sent to Edmonton. If you are not going to be at the Synergy Meeting (apparently Victoria camp is occurring this same weekend), please mail them to the
team mailbox so we can merge them all and send them all together as soon as possible. Your cooperation in these activities would be greatly appreciated. If you have difficulties filling out the forms, please contact me.
*****We received a stack of free passes to public skating on the Olympic Oval for the remainder of the 2008 season. If anyone is interested, please contact me and we'll arrange a way to get them to you. I will have them at the meeting as well.
*****Clothing order is proceeding. We are going with a local manufacturer instead of Italy this year called Jos (http://www.jos.ca) based in BC. We have been in talks with the owner over the past few weeks attempting to get sizing and order numbers figured out. We are supposed to be receiving more samples this week to determine proper sizes for the order. We are now considering buying two styles of jersey this year - the race cut style and the club style. The race style fits close to the body while the club style is more loose. There was concern that the race cut wouldn't be appreciated by some team members so we're trying to best address this issue by providing an alternative. Things are still not confirmed yet so we will provide an update at the meeting on the 13th.
*****Colin will be taking orders for a team jacket, possibly warm-up pants at the meeting on the 13th. Costs haven't been established yet, but Colin will provide more detail at the meeting and will take orders for those that want the jacket. It will be a basic color poly-blend jacket with a simple bold Synergy embroidered on the back, or something similar. If you have any suggestions, contact cp for discussion. This is a flexible activity -- if we get agreement that we want to go with something different at the meeting, then that will be the way we'll go.
*****Umm, I think that's it for now. Please attend the team meeting if you can. If not, please let us know that you won't be able to attend so we can arrange to receive paperwork (membership and license applications, AGLC funding requests), payments and whatever else from you at a later date.

Synergy Team Meeting
IBM Canada Building, 227-11th Ave. SW - Rocky Mountain 'A' Room. Doors are on the northeast corner of the building. Since the meeting is afterhours, someone (most likely Reid) will be at the front door to let you in.
This will be an organizational meeting for all returning, new and potential members of the team for the 2008 race season. It will be an opportunity to review membership obligations and pay membership fees for the 2008 season. We will also review goal-setting exercises, meet the members in the same categories, and go over some of the fun initiatives we are planning for the season.
There will be an agenda posted here as soon as it is available.
